Switching bookkeepers: a handoff checklist for your QuickBooks Online records

For business owners handing records from one bookkeeper to another.

The short answer

Before changing bookkeepers, agree on the last period the current provider will handle, confirm access to your records, and have the receiving bookkeeper identify any gaps. Track each item as requested, received, or reviewed. A folder of downloaded reports is a useful start; it does not prove the books are complete.

This worksheet is for a business using QuickBooks Online. It helps organize the transfer; it does not prescribe accounting corrections or assume you are moving to a new software subscription.

Agree on responsibility before changing access

Write down the cutoff period, the person responsible for completing it, and who handles the next period. Separately identify payroll, sales-tax filings, and income-tax preparation where relevant. Those services may belong to different providers.

Review your engagement's notice and billing terms. Confirm that the receiving bookkeeper accepts the work, including any cleanup that remains. Keep necessary access in place while the agreed work is being completed, unless a security concern requires a different plan.

Use a handoff worksheet

For each row, record status, location, responsible person, and next agreed date. “Not applicable” is useful when confirmed; an empty cell leaves the question open.

Use a handoff worksheet
Item to establishWhat to collect or confirmWhat the receiving bookkeeper should check
Company accessWho controls the company account, billing, and administrative access; how the owner signs in using their own accountRequired access is available and the transfer plan will preserve it
Last completed periodThe stated last closed month and any periods still being worked onWhat “complete” includes and which accounts or adjustments remain open
Accounting reportsRelevant trial balance, general ledger, profit and loss, and balance sheet with their dates and accounting basisCoverage, consistent settings, and unexplained differences
Bank and card accountsStatements and reconciliation reports for the relevant periodsWhich accounts and periods have actually been reconciled; unresolved differences
Money owed to or by the businessCustomer invoices, supplier bills, and other open-item lists as applicableItems requiring collection, payment, correction, or explanation
Supporting recordsReceipts, attachments, loan records, and other records supporting the booksMissing support and who can retrieve it
Payroll and sales taxProvider contacts, records held, and copies or confirmations of filings made where relevantWho owns recording, payment, and filing duties from the cutoff onward
Open questionsUnclassified transactions, pending corrections, and decisions awaiting the owner or accountantEach unresolved item has a next action and responsible person
Recurring workConnected services, recurring templates, and scheduled bookkeeping tasks as applicableWhat must continue, change, or stop at the handoff

The receiving bookkeeper should decide which additional records your business needs. Avoid making adjustments merely to force reports to match; record and investigate the reason for a difference.

Exporting QuickBooks Online records

Intuit's official export instructions explain how to export selected reports and lists as Excel files in a ZIP and choose a date range. The article also provides separate sections for other data, including attachments and recurring templates.

Keep these distinctions in the handoff:

  • A reports export is not a promise of a complete, restorable company backup. Confirm separately what historical transactions, attachments, settings, and other records need to remain accessible.
  • A downloaded file is not a verified handoff. Open the files, check their date ranges, and ask the receiving bookkeeper to confirm what is missing.
  • Changing the person doing the books does not by itself decide whether to migrate the company file. Agree on the access and subscription approach before opening or cancelling accounts.

Use Intuit's current instructions for the actual export steps. QuickBooks Desktop backups and other platforms have different procedures.

Keep missing items visible

If something is unavailable, record the gap rather than marking the whole transfer complete. Do not assume bank statements alone can recreate every record or resolve every accounting question.

Store the completed worksheet and records somewhere your business controls. Share them through an agreed secure channel. Grant individual access through the service's permissions where available; do not put passwords in the worksheet.

Before calling the handoff complete

Ask the receiving bookkeeper to confirm:

  1. They can access the agreed records and open the delivered files.
  2. They understand the cutoff and the work they are taking over.
  3. They have reviewed the starting position and identified unresolved differences.
  4. Outstanding items have a responsible person and next action.
  5. You know the next deliverables and when to expect an update.

Once the agreed work and access transfer are complete, review old provider permissions across the relevant services and remove access that is no longer needed. Coordinate this with final deliverables and your engagement terms. If a security incident is suspected, seek prompt assistance rather than waiting for the normal handoff sequence.
